RotaTrack is a management  tool for reporting, projecting & recording all departmental activities in any industry.

Earlier in the year we announced that three hospital installations were nearing completion. What we did not say was that two of the three were major installations - St Georges is recognised as one of the largest teaching hospitals in the UK. St Georges ( London ), who have been using the diary and management parts of RotaTrack for years but have never had the time to complete the installation because they could not free-up the time to dedicate to RotaTrack. Ironically enough RotaTrack when completed will free-up the admin staff for just such projects. More importantly the data provided makes many ‘admin’ jobs simpler.

St Georges (Tooting) has around 80 Consultants and 60 trainees and still need to clarify and check some data, and run rotas while we complete some minor extras that will help them further. The actual  installation of full and real automation takes longer than ‘click and allocate’. But after installation one click is enough to create a rota - you don’t have to plug in your own resident expert and then watch him/her work for hours across the internet allocating each clinician from a drop down menu. (RotaTrack Lite does this at only £6500 – but it automates fixed session allocation and you don’t need to worry about the speed or availability of the internet).
It took us just four days on-site in London to complete the largest ever Anaesthetics installation. St Georges will rapidly confirm that compiling rotas is just one of the many tasks that RotaTrack automates. Nearly 200 reports on training, absences, cancellations - with reasons, become available at the click of a mouse. We have (as a result of protracted installations) now phased the introduction of RotaTrack to supply an enhanced RotaTrack Lite set of features as Phase 1 to enable hospitals to short-cut to levels of automation way beyond the capabilities of any other product (The basic RotaTrack Lite is available at £6,500).

High flying  RotaTrack with Flying Doctor
The world renowned  Flying Doctor Service WA has ordered  a customised version of RotaTrack. They expect to gain considerably from the automation of a complex task that requires maximum flexibility. The forward projection enables the identification of potential issues at an early stage to and to properly assess the complications. Peter Solomons, Technical Director of Studio Box, explained, ‘We need to turn one part of RotaTrack around and assign by person rather than by shift. We were already considering this for a Radiology installation, but we need to make sure that this is the best route and we need to look at the knock-on effect (RotaTrack needs to complete millions of calculations using nearly 3,000+ fields and tables in the larger environments). That ’s where intelligent rostering scores  every time over the browser based search systems.’ Fuller details to come in the near future.

Studio Box have written the following database publishing software: EasyBoxes (Autos and Real Estate), Instad (In-store Artwork generation).
Major supermarkets use Instad Our retailing solutions include a Point of Sale System and a Ticketing System used by many leading retailers in the UK. Homebase, Safeway, Saintsbury’s and the Co-op have all bought systems. By checking calculations (discounts) and auto flowing existing data and pictures into templates and auto-formatting productivity is increased.

An example of the impact of pattern recognition. Handling the allocation of complex shift patterns fairly and uniformly, with intervention via a spreadsheet as necessary. Hands-on management control was a priority, rather than full automation. This example handles 12 x 24 hour shifts (32 staff and 21 duties per day. Note the fortnightly averages and details of hours worked.


After nearly a years trials in Australia we are ready to unveil a new low-cost rostering package aimed at addressing complex shift requirements. Shiftmanager will be available in June. This will take RotaTrack out of the hospital environment into much broader areas.
Our high-end Rotatrack is a powerful relational system that is data hungry and requires careful thought in configuration to achieve very high levels of automation. Drawing on the power and flexibility of this system we can provide an off-the-shelf product at the lowest cost possible.  Features include:
1 Work groups with limits on numbers of staff that can be away at any one time. Other limits are also provided.
