Working on the assumption that its easier to remove features than add them, we went for the high end first then we could offer a comprehensive service cost effectively. Everyone wants full automation but few have ready access to the funds. RotaTrack Lite provides a high degree of automation to routine weekly tasks plus general shifts for an introductory  £3125.
To create a rota it is necessary to know who is available and who is not, who is on-call or on a shift and what fixed sessions and other duties need to be filled.

RotaTrack Litre's diary provides lists of available and unavailable staff that it uses to allocate fixed sessions, and fill gaps using available qualified staff. User can then allocate general shifts  as appropriate from a drop-down menu. Most importantly RotaTrack Lite prevents double booking.
In use operators need to maintain a computerised departmental diary and weekly templates into which rotas can be flowed and trainees allocated. This is all controlled by a module taken from our high end fully automated RotaTrack.  
Since launching RotaTrack to staff operating theatres it has been evident that delivering full automation, whilst
being everyone’s dream, is in practical terms a long and hard slog. The sheer volume of information required from each hospital to run RotaTrack is formidable and can prove too much for all but the most dedicated. Our experience shows that providing a powerful departmental diary is available the first 70% is relatively simple and cheap. It ’s the last 30% that costs. And not just in monetary terms but in time and effort.
RotaTrack Lite is useful where small groups are needed and where matching individuals skills and specialties to complexity of task is required ie a theatre list of available and qualified Surgeons, Anaesthetists and Nurses. These features would be useful for Emergency Services etc.

Database Publishing
After nearly a years trials in Australia we are ready to unveil a new low-cost rostering package aimed at addressing complex shift requirements. Shiftmanager will be available in June. This will take RotaTrack out of the hospital environment into much broader areas.
Our high-end Rotatrack is a powerful relational system that is data hungry and requires careful thought in configuration to achieve very high levels of automation. Drawing on the power and flexibility of this system we can provide an off-the-shelf product at the lowest cost possible but with a high degree of automation. We have links to Excel to provide maximum user-friendliness with high quality readability. Features include:
1 Work groups with limits on numbers of staff that can be away at any one time. Other limits are also provided.
2 Excel templates to provide user friendly layouts and an easy means of manipulation for the user to maintain maximum control.
3 The results are then fed back to the RotaTrack engine to provide the power of an SQL relational database for data manipulation and reports.
4 A list of leave booked and leave requested is provided to help with decision making.
5 Lists of available and un-available staff are provided.
6 Tracks hours and highlight the weekly hours below and above pre-settable totals..
7 Locks Excel to 4D to maintain data integrity  templates must reflect the diary
8  Different Public Holiday pattern can  be definable.
9 A spreadsheet based rota is used for semi-auto rota generation (drop-down lists of available qualified staff are provided for rapid layout).
10 Duties are allocated and colour formatted based on an alpha character(s) being keyed where appropriate.
11 Pattern recognition inherent in the colour lay-out aids quick comprehension.
12 Users can set-up templates which are auto-generated 13 weeks at a time.

An example of the impact of character recognition. Handling the allocation of complex shift patterns fairly and uniformly, with intervention via a spreadsheet as necessary. Hands-on management control was a priority, rather than full automation. This example handles 12 x 24 hour shifts (32 staff and 21 duties per day. Note the fortnightly averages and details of hours worked.
